Terms & Conditions
At Elite Maintenance Solution, we aim to provide clear, fair, and accurate
quotations for all flooring, painting & decorating, and refurbishment works. We pride
ourselves on maintaining transparency, professionalism, and good communication
throughout every project.
Estimates & Scope of Works
All quotations and estimates are prepared carefully based on the information
available at the time of inspection, discussion, or survey.
While every effort is made to provide accurate pricing, unforeseen issues or changes
to the scope of works may arise once work has commenced. In some cases,
additional preparation, repairs, materials, or labour may be required in order to
complete the works safely and to an appropriate professional standard.
Wherever reasonably possible, we will discuss and agree any additional works or
costs with the customer before proceeding.
We will always endeavour to keep costs in line with the original quotation; however,
works not specifically detailed within the quotation, or any changes requested during
the project, may be treated as additional works (“extras”) and charged accordingly.
Additional works may be:
● Charged at our standard hourly or daily labour rates; or
● Priced separately and agreed with the customer prior to continuation.
Designs, Layouts & Specialist Finishes
Quotations are based on standard installation and finishing methods unless
otherwise specified in writing.
Should a more complex design, layout, preparation requirement, or specialist finish
be requested or identified after the quotation has been prepared — including but not
limited to bespoke designs, feature details, herringbone patterns or parquet flooring,
mosaic work, decorative finishes, specialist paint effects, custom layouts, additional
preparation works, or non-standard installation methods — the quotation may need
to be reviewed and revised to reflect the additional labour, materials, time, skill, or
wastage involved.
Furniture & Customer Responsibilities
Where reasonably practical, we may assist with moving small and lightweight
furniture items to allow works to proceed.
However, customers are responsible for removing, emptying, or protecting all:
● Heavy furniture
● Valuable items
● Fragile or breakable items
● Electrical or electronic equipment
● Personal belongings
prior to commencement of works.
Heavy furniture, safes, pianos, large appliances, fitted units, or oversized items
requiring specialist handling are not included unless specifically agreed in advance.
We cannot accept liability for damage to furniture, fixtures, contents, or belongings
that have not been removed, adequately protected, or disclosed before works
commence.
Materials & Supplies
Unless otherwise agreed in writing, materials are generally supplied by the customer.
Should additional materials be required due to shortages, design changes,
unforeseen site conditions, customer requests, or any other circumstance necessary
to complete the works, such materials will be charged at:
● The cost of the materials; plus
● A 20% handling charge to cover sourcing, collection, transportation, and
delivery.
Materials or products requiring special ordering, long-distance collection, extended
travel, or non-standard procurement arrangements may incur additional charges.
Unless otherwise stated, we will provide all necessary tools and standard
consumable items required to carry out the works, including:
● Standard fitting consumables
● Cleaning products and consumables
These items are generally included within the quotation unless specifically excluded.
Disposal of Rubbish & Packaging
We will make every reasonable effort to remove and responsibly dispose of
installation-related waste, including empty boxes, packaging, wrapping materials,
and general job-related rubbish upon completion of the works.
However, unless specifically included within the quotation, we cannot guarantee the
removal of all waste in circumstances involving excessive volume, restricted access,
local disposal limitations, or other practical constraints.
Where disposal arrangements are required beyond the agreed scope of works, we
may arrange removal through additional labour or third-party services, with any
associated costs chargeable to the customer.
Please note that disposal of rubble and construction waste is subject to
Government-imposed landfill and tipping charges per tonne. Any such statutory
fees incurred during disposal will be passed on to the customer in full.
Delays & Unforeseen Circumstances
We shall not be held responsible for delays caused by circumstances beyond our
reasonable control, including but not limited to:
● Late or unavailable materials
● Supplier delays
● Hidden defects or unforeseen site conditions
● Weather conditions
● Restricted site access
● Customer delays or changes to agreed works
Any significant delays affecting the schedule of works will be communicated as soon
as reasonably possible.
Payments
Standard Projects
● 10% deposit payable upon acceptance of the quotation or estimate
● 40% payment payable upon commencement of works
● Remaining balance payable upon completion of works
High-Value or Long-Term Projects
For larger, high-value, or long-duration projects, the following payment structure may
apply:
● 10% deposit payable upon acceptance of the quotation or estimate
● 20% payment payable upon commencement of works
● Regular interim payments invoiced throughout the project as works
progress
● Final balance payable upon completion of works
Materials Supplied by Us
Where materials are supplied, sourced, or specially ordered by us, a larger upfront
deposit may be required to cover material costs and procurement.
Payment Terms
All invoices are payable within 7 days of the invoice date unless otherwise agreed in
writing.
We reserve the right to suspend or delay works where payments become overdue.
Late payments may be subject to an additional charge of 5% per month on the
outstanding balance until payment is received in full.
Acceptance of Terms
By accepting our quotation and/or permitting works to commence, the customer
acknowledges and agrees to these Terms & Conditions.
We remain committed to maintaining professional standards, clear communication,
and fair resolution of any unexpected issues throughout every project.
